Description and categories of data

The form records in a structured way your registration for TryScience events in a database. The time and date of your registration will also be recorded in a database. In addition, the data will be sent via tryscience@uni-stuttgart.de to the Gender Equality Office at the university, where it will be processed on a first-come-first-serve basis.

The data will be stored at the Gender Equality Office of the University of Stuttgart in the form of a local Excel file.

We will be using your data to process your registration, to send you a registration confirmation, and to inform you about the status of your registration at a later time. The data you provided about your gender, grade, place of residence, and school will be stored as long as this is necessary for the adaptation of our events to the respective target group.

The fields marked with an asterisk (*) are compulsory, all other fields are optional.

We require your email address for communication. Details about your place of residence are optional and will only be used to gather information about where the participants of our project live. If you wish, you can provide us with your full address and a phone number, so we can send you information by mail or phone in case of problems with the email address. The (optional) details about your school or current occupation helps us to find suitable cooperation partners. The mandatory details about gender and grade are required to check whether the registration requirements of the respective event are met, and for the adaptation of the event contents to the target group.

Purpose

The data requested in the form will be used to process and confirm the registration, to send information about changes and additional events, and to customize the events to the registered target group.

Legal basis

The legal basis for the collection and processing of the data in the compulsory fields (marked with * ) in this form is Art. 6(1) lit. e in combination with Art. 6(3) of the General Data Protection Regulation DS-GVO in combination with §4 of the State Data Protection Act LDSG (Baden-Wuerttemberg).

The legal basis for the collection and processing of the optional information as well as the processing of the data for future information about TryScience events is Art. 6(1) lit. a DS-GVO.

Recipients

The recipients of the personal data submitted via the form are the staff members of the Gender Equality Office who are responsible for organizing the event, as well as the relevant employees of the institutions and institutes at the University of Stuttgart that are involved in the project.

Duration of data storage

After the event has been completed, i.e. approximately one to two months after the last day of the event, the data will be deleted.

Excluded from this is, in the case of events with catering from the university cafeteria or with external catering, a list of participants with first and last name. For budgetary reasons, this list will be stored with the budget documents for 10 years for the settlement of the catering.

Your first name, last name, and e-mail address are excluded as well, if you have consented during registration to receive information on thematically similar TryScience events in the future. Your data will then only be deleted if you withdraw your consent, or one year after registration.

The data you provided about your gender, grade, place of residence, and school will be stored as long as this is necessary for the adaptation of our events to the respective target group. If, after deletion of all supplementary data, only the above data remain stored, we can no longer make any reference to a person.
